Proposal tracking: know when a prospect opens it

Letlink puts a short link in front of the proposal you already send — a PDF, a Google Doc, a Notion page — and tells you in your team chat the moment it is opened, so you follow up while it is fresh.

Short answer

Proposal tracking tells you when a prospect opens the proposal you sent, so you can time the follow-up instead of guessing. Letlink does it with one short link per prospect in front of the document you already use: each open is recorded with time, country, device and browser, and from Solo at $3.90 a month an alert lands in Slack, Microsoft Teams, Discord, Google Chat or Telegram. It tracks the link being opened, not pages read or time spent.

Features

What proposal tracking with Letlink tells you

An alert on every open

Connect Slack, Microsoft Teams, Discord, Google Chat or Telegram once. Each recorded open posts a message with the short link, browser, operating system, device and country.

Works with the file you already have

The short link points at whatever you already send — a hosted PDF, a Google Doc, a Notion page, a slide deck. Nothing to upload and no new editor to learn.

A readable link per prospect

Short codes like /acme-proposal tell you at a glance which deal the alert is about, and look deliberate in an email rather than random.

Forwarded to the team?

Unique visitors count distinct devices. Three devices from two countries opening one proposal usually means it is being passed around the buying committee.

Revise without resending

Updated pricing? Point the same short link at the new version. The prospect’s link keeps working and opens the latest file.

On your company domain

From Solo, the link reads proposals.yourcompany.com/acme rather than a generic short domain, which looks like you sent it — because you did.

Withdraw a proposal

Give the link an expiry date that matches the offer’s deadline, or archive it when a deal is lost, and the old link no longer opens the document. Expiry dates and passwords are on every plan.

Use cases

Who tracks proposals

Freelancers and consultants

Send the quote, get a Telegram message when it is opened, and call while the client is still looking at it.

Agencies

Pitch decks and statements of work behind one branded link each, with alerts in the new-business channel so whoever owns the deal sees it.

Sales teams

Every rep’s proposals in one Growth workspace for five people, with alerts in a shared Slack or Teams channel and a year of history.

Tenders and RFP responses

Know whether the evaluation team opened your submission, from which country and how many devices.

Step by step

How to track when a proposal is opened

  1. Share the proposal as a link

Get a view link for your PDF, Google Doc, Notion page or deck, with sharing set so the prospect can open it.

  2. Create a short link for the prospect

In the dashboard choose Create link, paste the view link and set a short code such as acme-proposal. Give it a title with the deal name.

  3. Connect your chat app

Open Integrations → Slack, Microsoft Teams, Discord, Google Chat or Telegram, paste the webhook URL or bot details and save. Send a test to confirm the channel receives it.

  4. Send it and wait for the alert

Put the short link in your email. When the prospect opens it, the alert arrives in your channel and the link’s stats page shows every open since.

FAQ

Proposal tracking: questions and answers

Anything else? Talk to us — or read the help center.

What is proposal tracking?

Proposal tracking tells you when a prospect opens a proposal you sent, so you can follow up at the right moment. Letlink does it with a short link per prospect in front of your PDF, Google Doc or other hosted file; each open is recorded with time, country and device, and from Solo at $3.90 a month it triggers an alert in Slack, Teams, Discord, Google Chat or Telegram.

Can I see which pages they read or how long they spent?

No. Letlink tracks the link being opened, not what happens inside the document: there are no page-by-page views or reading times. What you get is when the link was opened, how often, from which country, on which device and browser, and how many distinct devices opened it.

Will I know exactly who opened it?

Not by name. Letlink does not identify people; it reports the device, browser, country and time of each open. Because each prospect gets their own short link, an open of /acme-proposal tells you the Acme link was used — though it may have been forwarded to a colleague.

Does opening my own link trigger an alert?

Yes — every recorded click posts an alert, including yours. Test the link once before you send it, then leave it alone. Link-preview fetchers from chat apps are refused by Block bots by default and never counted, so pasting the link into Slack does not count as an open.

Do I need a special document format?

No. The short link redirects to whatever URL you give it: a PDF in cloud storage, a Google Doc or Slides, a Notion page, a page on your site. The document stays where it is; Letlink only sits in front of the link.

What plan do I need for proposal alerts?

Chat alerts start on Solo at $3.90 a month, which also adds a custom domain and 30 days of history. Growth at $8.90 adds four teammates, a year of history, webhooks and the REST API. The free plan records opens on the link’s stats page but sends no alerts.
