How to track clicks in Outlook emails

Outlook lets you put any address behind link text, so a Letlink short link records every click on it. This guide covers inserting the link in Outlook and what Microsoft’s Safe Links does to it on the way.

Short answer

To track clicks in Outlook, insert a tracked short link instead of the plain URL: select the link text, choose Insert > Link (or press Ctrl+K, ⌘+K on a Mac), paste the Letlink short link and confirm. Each click is recorded with country, device, browser and time. In organisations using Microsoft Defender for Office 365, Safe Links may rewrite and scan the link before and when it is clicked; Letlink never counts bots as clicks, and refuses common automated clients by default. Free covers 1,000 tracked clicks a month; Solo at $3.90 adds Teams alerts and your own domain.

Features

What to know about links in Outlook

Safe Links may wrap your link

In organisations with Microsoft Defender for Office 365, Safe Links can rewrite links in incoming mail to a safelinks.protection.outlook.com address and check them when clicked. The reader is still sent on to your short link.

Links may be scanned before delivery

Microsoft documents that Safe Links scans URLs before a message is delivered and can test unknown links in the background. Those checks are automated, not readers.

Bots kept out of your numbers

Bots and crawlers are never counted as tracked clicks in Letlink. With Block bots on — the default — common automated clients get a 403 instead of the destination.

The original address on hover

Outlook shows the original URL when a reader hovers over a Safe Links-wrapped link. A short link on your own domain, from Solo, makes that address recognisable.

Alerts in Microsoft Teams

On Solo, connect a Teams channel through an incoming webhook and get a card for every recorded click on the links you send.

Change it after sending

Edit the short link’s destination in Letlink and the link already sitting in Outlook inboxes goes to the new page.

Use cases

Outlook emails worth tracking

Client and supplier email

A short link to a quote, a contract page or a shared file, with a Teams alert when it is first opened.

Internal announcements

One tagged link per all-staff email shows how many people opened the policy, survey or intranet page it points to.

Signature links

A short link in the Outlook signature to your booking page or latest offer, counted across every email you send.

Step by step

How to track clicks in Outlook

  1. Create the short link

In Letlink, open Create link, paste the destination and save. Choose Link with UTM with source outlook and medium email if you want the clicks labelled as email.

  2. Select the link text in Outlook

Write the message in Outlook and select the words or picture that should carry the link.

  3. Insert the link

On the ribbon choose Insert > Link, or right-click the selection and choose Link, or press Ctrl+K (⌘+K in Outlook for Mac). Paste the short URL as the address and confirm.

  4. Test with your own mailbox

Send the email to yourself and click the link. In a Safe Links organisation, hovering shows the original address; the click still reaches your short link and appears on its stats page.

  5. Read the clicks

Open the link’s stats page for each click’s time, country, device and browser, or connect Microsoft Teams on Solo for a card on every click.

FAQ

Track clicks in Outlook: questions and answers

How do I track clicks in Outlook?

Put a tracked short link behind your link text. Create the link in Letlink, then in Outlook select the text, choose Insert > Link or press Ctrl+K (⌘+K on Mac), paste the short URL and confirm. Every click is recorded with country, device, browser and time on the link’s stats page; the free plan covers 1,000 tracked clicks a month.

What do Safe Links do to my tracked link?

In organisations with Microsoft Defender for Office 365, Safe Links can rewrite links in incoming email to a safelinks.protection.outlook.com address, scan them before delivery and check them again when clicked. A reader who clicks is checked by Microsoft and then sent on to your short link, which records the click and redirects as usual.

Will Safe Links scanning show up as clicks?

Bots and crawlers are never counted as tracked clicks in Letlink, and with Block bots on — the default on every plan — common automated clients receive a 403 instead of the destination. Keep Block bots on if you send to organisations that scan links.

Can I track whether my Outlook email was opened?

No. Letlink records clicks on links, not email opens, and adds nothing to the message. If the reader opens the email but does not click, nothing is recorded.

Is there a Letlink add-in for Outlook?

No, and you do not need one. The short link does the tracking, so it works in classic Outlook, the new Outlook, Outlook on the web and Outlook for Mac, and in any other email client your colleagues use.

Can I get an alert in Microsoft Teams when a link is clicked?

Yes, from Solo at $3.90 a month. Create an incoming webhook in a Teams channel, paste it under Integrations → Microsoft Teams, and every recorded click posts a card to that channel. Slack, Google Chat, Discord and Telegram work the same way.
